GiaNet Media di Francesco Giannetta (VAT IT04410590758), based in via Canonico Martire Schito 13 — 73028 Otranto (LE), Italy, as Data Controller, informs users pursuant to EU Regulation 2016/679 (GDPR) that personal data collected through menu.trovido.com and the Menu Digitale platform will be processed as follows.

1. Data collected

We collect: registration data (name, email, password); business data (venue name, address, business type, logo); menu data (dishes, categories, prices, allergens, descriptions, photos); billing data (company name, VAT number, tax code, address); usage data (access logs, menu view statistics, languages selected by customers); payment data (managed by Stripe — we do not store credit card data).

2. Purpose of processing

Data is processed for: providing the digital menu SaaS service; generating custom QR codes; automatic menu translation via artificial intelligence; menu view analytics; subscription management and electronic invoicing; technical support; service communications; and, with consent, newsletters and marketing.

3. Legal basis

Processing is based on: contract performance (Art. 6.1.b GDPR); legal and tax obligations (Art. 6.1.c); legitimate interest for security and service improvement (Art. 6.1.f); consent for newsletters and non-essential cookies (Art. 6.1.a).

4. Data recipients

Data may be shared with: AI service providers (OpenAI, Anthropic, Google, Groq) for automatic translation and dish description generation; Stripe for payments; Hetzner for hosting (servers in Germany, EU); Cloudflare for CDN and DDoS protection.

5. Extra-EU data transfers

Some providers (OpenAI, Anthropic, Google) are based in the USA. Transfers are made on the basis of Standard Contractual Clauses (SCC) approved by the European Commission or the EU-US Data Privacy Framework. Main servers are in Germany (Hetzner, Falkenstein).

6. Data retention

Account data is retained for the duration of the contract and for 10 years thereafter for tax obligations. Menu data is retained until account deletion. Access logs are retained for 6 months. Billing data for 10 years as required by Italian tax law.

7. Restaurant customer data

Customers who view the menu via QR code are not required to register. Only anonymous analytics data is collected (browser language, device, access time). No personal data of end customers is collected or stored.

8. Data subject rights

Users may exercise their rights to: access their data; rectify inaccurate data; erasure ("right to be forgotten"); restrict processing; data portability; object to processing. To exercise these rights, open a support ticket at support.trovido.com. Consent may be withdrawn at any time. Users have the right to lodge a complaint with the Italian Data Protection Authority (www.garanteprivacy.it).
